IHSC Email Alias Policy

The Indian Hill Ski Club email alias exists to support the notification to club members of official IHSC activities. This is an official Lucent Technologies email address and should be used in accordance with professional business practices and behavior.

This email alias may be used to schedule other events under the following conditions:

1. The notification of an event will be provided to an IHSC Board Member for distribution (IHSC Secretary.)
2. An event notification should be for one specific event that is coordinated by an individual (not a list of possibilities.)
3. Event notification should be limited to once a week and, where feasible, once per month. This is to reduce the amount of non-business related email that is transmitted/received using this alias.
4. Initial event notification should request response back to the organizer by those that are interested in participating. Organizer will create a separate alias of their own which will include those who responded as "interested" for future correspondence on the event. In this way, mail sent to the whole club is minimized.
5. Information to be included in the event notification may include:
   • Date/time of activity
   • Sign up procedures (if needed)
   • Sign up date (if needed)
   • Date money must be paid (if applicable)
   • Reminder that if a person signs up, he/she is obligated to pay even if they later decide not to participate, unless a substitute is found (e.g. purchasing theater tickets) -- refer to the IHSC trip cancellation policy
   • Directions to the activity
   • Carpool options
   • List of attendees who have signed up so far
   • Exact address and phone number of where activity is taking place
   • Event organizer's work phone, email address and full name
